Case Study: DeBrand Chocolates

How do you ship thousands of chocolates a day... without a meltdown?

DeBrand Fine Chocolates has been a recognized producer of artisan chocolates for almost twenty years. They have delivered American and European style chocolates to everyone from Donald Trump and his “Apprentices” to visitors of all ages at their headquarters in Fort Wayne, Indiana. Each piece is handcrafted and specially packaged. While creating a truly delectable experience, this attention to detail can be difficult and time consuming in high volume situations.

DeBrand came to liQuidprint, concerned about handling the large increase in orders during the holiday season. They were using an internal processing system that required orders from the website to be faxed to operations and manually re-entered. It was slow and left a lot of room for human error. Also, credit cards were not charged until orders were entered into the system. This was problematic in situations where the orders were not immediately entered or with rush delivery. Debrand needed a more efficient and user-friendly system.

liQuidprint created a Web based order entry system that simplified Debrand’s internal processing. It focused on functionality in the areas of:

  • Order entry (including customer maintenance)
  • Order processing
  • Inventory control
  • Shipping
  • Reports (including sales, pending order, product mix and a report e-mailer)

The new system allows the user to quickly look up customer information, make any necessary changes, and process the order immediately (including credit card verification). It then sends a pick ticket with a unique barcode to the warehouse. Once the order has been filled, the packer can easily scan the barcode, instead of manually entering an order number.

One of the biggest challenges was shipping, because DeBrand’s merchandise is not only delicate but also perishable.

If being shipped to a warm weather destination, the products will melt without a cooling agent.

The liQuidprint team worked diligently to write a shipping program that would accommodate any type of order regardless of season, destination, or weather. Not to mention the standard issues of size, shape, and weight. The result was a streamlined and user-friendly shipping process (free of meltdowns). The system also communicates automatically with UPS WorldShip. There is absolutely no manual effort involved in getting boxes labeled, and in creating a shipping manifest.
